Privacy Policy
Last updated: July 2026
OneSay memo ("we", "us", or "our") respects your privacy. This Privacy Policy explains what information we collect, how we collect it, how we use it, with whom we share it, and the choices you have. By using the app, you agree to the practices described in this policy.
1. Information We Collect
- Account information: email address or sign-in identifier when you create an account using email, Google, or Apple sign-in. Account creation is optional; you may use most app features without registering.
- User content you create: tasks, expense records, notes, journal entries, photos, and voice-derived text that you add in the app.
- Voice and audio data: when you use voice recording, the audio recording is collected from your device microphone and sent for speech-to-text transcription (see Section 3).
- Transcribed text and parsed content: the text transcribed from your voice, and the structured information extracted from it (for example task title, due date, group name, expense amount and category, or journal content).
- Device and context information: device timezone and current local time, used to interpret relative time references in your voice input (such as "in 30 minutes" or "tomorrow morning").
- Subscription status: subscription tier, product identifier, and related purchase status needed to unlock Premium features. This is processed by Apple's App Store (StoreKit).
- Usage information: monthly voice usage count and basic diagnostic information used to provide free-tier limits and support.
- Referral invite code: if you arrive at OneSay through a promoter's referral link, a short invite code may be read from your device clipboard on first launch so your sign-up can be attributed to that promoter. The clipboard is checked only once, only for a value that matches a valid invite code, and no other clipboard contents are read, stored, or transmitted. The code is linked to your account solely for referral attribution and payout reporting.
2. How We Collect Information
- Directly from you: when you create an account, enter or speak content, take photos, or adjust settings.
- From your device: microphone audio (with your permission), device timezone, local clock, and — on first launch only — the clipboard, checked for a valid referral invite code as described above.
- From Apple: subscription and purchase status via Apple's StoreKit / App Store infrastructure.
3. Third-Party AI Service - Alibaba Cloud DashScope
To provide speech-to-text, intent recognition, and smart parsing of your voice input, OneSay memo uses a third-party generative AI service: Alibaba Cloud DashScope, which hosts the Qwen (通义千问) family of large language models, including the speech recognition (ASR) and language model features used by this app.
What data is sent to Alibaba Cloud DashScope:
- Your voice recordings (audio), used for speech-to-text transcription.
- The transcribed text of your voice, used to recognize whether you are creating a task, an expense, or a journal entry and to extract structured details.
- The names of your task groups and your device timezone / current local time, sent as context so the model can correctly interpret group references and relative time expressions.
- Your journal content, only when you explicitly tap the "AI polish" feature to tidy or rewrite a journal entry.
Purpose: The data is used solely to perform the requested voice transcription, intent recognition, parsing, and journal polishing for the current action.
Training: Your voice, transcribed text, group names, timezone, and journal content sent to Alibaba Cloud DashScope are not used to train or improve the AI models. They are processed only to fulfill your current request.
Permission: The first time you use a voice recording or the AI polish feature, the app shows an in-app consent dialog that identifies Alibaba Cloud DashScope / Qwen as the recipient, lists the data that will be sent, and asks for your permission before sending any data. You can withdraw this consent at any time from Profile > Account > AI Data Sharing. While consent is withdrawn, voice recording and AI polish are disabled; manual input continues to work.
Third-party protection: Alibaba Cloud DashScope processes data under Alibaba Cloud's data and security policies. We rely on Alibaba Cloud's contractual and platform-level protections to handle your data with confidentiality and security equivalent to the protections described in this policy. We do not authorize Alibaba Cloud DashScope to use your content for any purpose other than providing the AI processing we request.
For more information, see Alibaba Cloud Model Studio's official security certifications and privacy notice, which states that customer data is not used for model training and describes its security and confidentiality controls.
4. How We Use Information
- Provide task, expense, note, journal, and voice recording features, including AI-powered transcription and parsing.
- Sync your data across your devices when you are signed in, and keep your account accessible.
- Process subscription status and manage Premium access.
- Enforce free-tier usage limits and prevent abuse.
- Improve reliability and respond to support requests.
5. Data Sharing
We share your data only as described in this policy:
- Alibaba Cloud DashScope - voice recordings, transcribed text, group names, timezone, and journal content, as described in Section 3, and only after you grant consent.
- Apple App Store / StoreKit - subscription and purchase data, processed by Apple to manage your purchases.
- We do not sell your personal data. We do not share your data with advertising networks or data brokers.
6. Data Security
We use reasonable technical and organizational measures to protect your data. Data transmitted between the app and our servers, and between the app and Alibaba Cloud DashScope, is protected using encrypted (HTTPS/TLS) network connections.
7. Data Retention
We retain your account and content while your account is active or as needed to provide the service. Data sent to Alibaba Cloud DashScope is processed for the current request and is not retained by us for AI training purposes. You may request deletion of your account and related data at any time (see Section 8).
8. Your Choices
- AI consent: Grant or withdraw consent for AI data sharing at any time in Profile > Account > AI Data Sharing. Withdrawing consent disables voice recording and AI polish.
- Account deletion: Delete your account and all associated data (tasks, expenses, journals, etc.) directly in the app via Profile > Account > Delete Account. This action is permanent and cannot be undone.
- Content: Edit or delete individual tasks, expenses, notes, and journals inside the app at any time.
- Subscriptions: Manage or cancel subscriptions through your Apple ID subscription settings at any time.
- Microphone permission: Manage the microphone permission in your device's system settings at any time.
9. Children's Privacy
The app is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us so we can delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above and, where appropriate, notifying you in the app.
